Sales links are connections with your property management system to allow for reservations and bookings to feed over to TRACK and create sales within the system. There are many different property management systems that we connect with and this guide will assist you on how to configure one of those connections.
Step 1: Navigate to the Sales Link configuration section of TRACK.
Step 2: Select the to add a new sales link.
Step 3: Type in the name of the Sales Link. We recommending using the name of the property management system you're connecting to.
Step 4: Select the system type. This is the property management system you want to connect to. Once you've selected the system type additional options will display in the configuration.
Step 5: Select the brand you want the sales link to be associated with. This is very important if you plan to connect multiple sales links for different brands.
Step 6: Enable or disable the "Is Active" checkbox if you want the sales link to be active or not.
Step 7: Fill out the information needed in the PMS Endpoint section. This information is dependent on which system type is selected and you'll need to contact your property management system to acquire the appropriate information.
Step 8: Select how you want the system to sync contacts. Syncing contacts can be set to create contact. sync contact or do no create.
Create contact will only create a new contact in TRACK if the contact does not exist in TRACK.
Sync contact will perform the actions of creating a contact if it doesn't exist but it will also update any information on the contact if it already exists within TRACK.
Do Not Create contact will not create or sync the contact on the sale.
Step 9: Select how you want the system to sync leads. If the option is set to "no" then it will not sync or close leads depending on sales data. If this is option is set to "yes" it will close win a lead if a sale comes over and that contact is associated with an open lead. When this is selected additional options will appear and you'll be able to configure a status, agent and campaign for the lead when it closes.
Status Exception is a feature that allows you to set a specific status on the lead preventing it from syncing if a sale were to come over associated with the contact.
Step 10: Set the Value Configuration. This section allows you to set which values you want to be synced over and associated with the sale in TRACK and you'll be able to set Rent, Extras and Taxes. This will attribute to the values within TRACK so if you only want to calculate rent revenue you'll only want the rent option enabled. Step 11: Save the sales link by clicking the button.
Once everything is configured you can now close leads and dispositions by selecting the sales link and adding the reservation number. Then on a daily basis the connection will sync over new reservations that are not already in TRACK.
